Presenter Guidelines

General Instructions

・All presentations must be prepared in English, the official language of the event.

・Presenters must complete their registration payment in advance.

・Please check your scheduled presentation date and time on the program page.

・Please take a seat in the Next Presenter’s Seat, located in the front row of each room, at least 10 minutes before your presentation.

・Please follow the instructions of the Session Chair.

Oral Presentation

Presentation Time

Speakers are asked to prepare their presentations to fit within the allotted time. All presenters must be ready and on time for their presentations and are kindly requested to arrive in their presentation room 15 minutes before the start of their session.

  Allotted times, including Q&A / discussions, are as follows:
    ・Plenary Lecture: 40 minutes 
    ・Regular Oral & Keynote: 20 minutes 

Presentation Data

All presenters are required to check in at the Data Submission Desk (next to the reception) to upload and review their presentation files.
Please carefully read the following guidelines:
    1. File Format
    ・PowerPoint (.pptx) or PDF files are accepted.
    ・Please embed all fonts in your file to avoid formatting issues.
    ・Slides should be prepared in a 16:9 aspect ratio (1920 x 1080 pixels) to ensure optimal display on the conference screen.
         
    * Please check the resolution of images and graphs in your presentation file.

    2. Data Submission
    ・Bring your presentation data on a USB flash drive.
    ・Presentation files must be submitted at least 30 minutes before your scheduled session.
    ・For sessions scheduled in the morning, please upload your file the day before.
    ・The Data Submission Desk is next to the reception on the 2nd floor.
    ・Staff will be available to assist you during the conference.
    ・All submitted presentation files will be deleted at the end of each day.
    ・If you need to make changes, please visit the Data Submission Desk and resubmit your file.
    ・Our operators will check your presentation file in advance to help ensure that there are no issues during your presentation.
    ・If your presentation includes audio or video, the operators will check them with the speakers in advance and take any necessary measures to ensure smooth playback during the presentation.

    ・Please name your file as follows: “Presentation No._Name" (e.g. O-40_John Smith)

Poster Presentation

All poster presenters are kindly requested to follow the guidelines below to ensure a smooth and well-organized poster session.

Format of the poster

    ・The size of the poster panel is 210 cm in height and 90 cm in width. Posters must be prepared within the display area of W90 cm × H160 cm. Please adjust the size of your poster accordingly. Pins will be provided at the venue.

    ・At the top of the poster, include the title, authors, and affiliations.

    ・The poster number (presentation number) will be prepared by the secretariat and affixed to the top left of the poster panel.

    ・There is no specific official format. Please feel free to use any template for making the poster.

    ・Poster presenters are kindly requested to print their posters in advance and bring them to the conference venue.

Posting, Presentation, and Removal Times

・Posting: Please confirm your poster number and put up your poster yourself. Pins needed for posting will be provided at the venue.

・Poster Session: Presenters are required to be at their posters during this time.

・Removal: Posters not removed by the designated removal time will be taken down and discarded by the secretariat.

Posting Time October 7 (Wed.), 12:00 PM - 3:00 PM
Poster Session October 7 (Wed.), After the last oral session – 7:00 PM
Removal Time
All posters must be removed by October 8 (Thu.), 3:00 PM. *Any posters left after this time will be discarded. 

Important:

The copyright of the presentation materials and content belongs to the presenter. Therefore, if any issue arises concerning the infringement of any third-party rights or interests in relation to the presentation materials, the presenter shall assume full responsibility.

Poster Award

Three judges will evaluate the poster presentations, and awards will be presented to the outstanding presentations.
