Presentation Guidelines

General Instructions

  • All the presentations must be prepared in English, the official language of the event.
  • Presenters must complete their registration payment in advance.
  • For presenters, please check your scheduled presentation date and time on the program page.
  • Oral Presentation

    Presentation Time

    ・ Speakers are asked to prepare their presentations to match the allocated times. As the schedule of presentation
      sessions is tight, all presenters must be ready and on time for their presentations.

      Allotted times (including Q&A) are as follows:
      Plenary Talk: 60 minutes 
      Invited Talk: 30 minutes 
      Contributed Talk: 15 minutes 

    Speaker Ready Room

    All presenters are required to check in at the Speaker Ready Room to upload and review their presentation files. Please carefully read the following guidelines:
      1. File Format
      ・PowerPoint (.pptx) or PDF files are accepted.
      ・Please embed all fonts in your file to avoid formatting issues.
      ・Slides should be prepared in 16:9 aspect ratio to ensure optimal display on the conference screen.
      2. Submission Deadline
      ・Bring your presentation data on USB flash drive.
      ・Presentation files must be uploaded at least 2 hours before your scheduled session.
      ・For morning sessions, please upload your file the day before.
      3. Location
      ・The Speaker Ready Room is located in front of Room 1 on the 1st floor
      ・Staff will be available to assist you during the conference.
      4. Technical Support
      ・All computers are equipped with Windows OS and MS PowerPoint.
      ・Use of personal laptops during the session is not recommended.
      ・If you created your slides on a Macintosh, please bring your own Mac computer.
      5. Updating Files
      ・If you need to make changes, please return to the Speaker Ready Room and re-submit your file.

    Poster Presentation

    All poster presenters are kindly requested to follow the guidelines below to ensure a smooth and well-organized poster session.

    Format of the poster

    • The size of the poster panel is 210 cm in height and 90 cm in width. Posters must be vertical A0 size or smaller (W841 × H1189 mm). Pins will be provided at the venue.
    • At the top of the poster, include the title, affiliation, and name.
    • The poster number (presentation number) will be prepared by the secretariat and affixed to the top left of the poster panel.
    • There is no specific official format. Please feel free to use any template for making the poster.

    Posting, Presentation, and Removal Times

    • Posting: Please confirm your poster number and put up your poster yourself before the posting time.
      Pins needed for posting will be provided by the organizers.
    • Presentation Time: There will be a free discussion within the 120-minute time frame.
      Presenters are asked to be in front of their poster 10 minutes before the scheduled session start time.
    • Removal: Posters not removed by the designated removal time will be taken down and discarded by the secretariat. Thank you for your understanding.

    September 30, 9:00 AM - 4:00 PM

    October 1, 9:00 AM - 4:00 PM
    October 2, 9:00 AM - 4:00 PM

    Posters should be mounted on the assigned poster board before the start of your session.

    Presentation Time Student
    September 30, 4:30 PM – 6:30 PM
     *All student posters presented on September 30 will be automatically eligible for award consideration.

    General
    ・October 2, 4:30 PM – 6:30 PM
    Removal Time
    Posters must be removed by 9:00 PM on October 2.
    Posters remaining after this time will be discarded by the organizers.
    Recognition
    The award ceremony is scheduled for October 3 during the closing ceremony (11:30 AM - 12:00 PM).

    Student Poster Award

    AIRAPT-29 will feature student poster awards.
    All student posters presented on September 30 will be automatically eligible for award consideration.
    Awardees will be invited to the conference dinner (October 1, 7:00 - 9:30 PM) and will also receive an additional prize.
    If an awardee has already registered for the banquet, a refund will be arranged.
    We kindly ask all award recipients to be present at the Closing Ceremony (11:30 AM - 12:00 PM).
