Presentation Guidelines

All the presentations must be prepared in English, the official language of the event.
Presenters must complete their registration payment in advance.
For presenters, please check your scheduled presentation date and time on the program page.

Oral Presentation

Presentation Time

Speakers are asked to prepare their presentations to match the allocated times. As the schedule of presentation sessions is tight, all presenters must be ready and on time for their presentations. All presenters are kindly requested to arrive at their presentation room 15 minutes prior to the start of their session.

For invited speakers, presentation times will vary, so please check your allotted time with the secretariat.
For regular speakers, information about your time is available below, and in an email from the secretariat with the following subject: [ICPH & ICoFF 2026] Notification of Presentation Style and Date

Allotted times are as follows:

  • Oral Presentation (General Session): 10 minutes (7-minute presentation + 3-minute Q&A)
  • Oral Presentation (YIA Session): 10 minutes (7-minute presentation + 3-minute Q&A)
  • Flash Talk (Student Award Session): 5 minutes (no Q&A)
  • Oral Presentation (Session Selected): Allotted presentation times will vary based on each session. Please check for an email from the secretariat with the following subject: [ICPH & ICoFF 2026] Notification of Presentation Style and Date
  • Invited Speakers:

    30-minutes (25-minute presentation + 5-minute Q&A)
    25-minutes (20-minute presentation + 5-minute Q&A)
    20-minutes (15-minute presentation + 5-minute Q&A)

Presentation Data

Invited Speakers and those presenting in the Oral Presentation (Session Selected) must bring and present on their own PC/laptop.
Presentations will be shared via HDMI cable, so if your computer does not have an HDMI port, please prepare an adapter.

For those participating in the Oral Presentation (General Session), Oral Presentation (YIA Session), Flash Talk (Student Award Session), you will use a computer provided by the event. Please prepare your presentation's data on a USB flash drive and bring it with you to the venue. Please prepare your presentations with PowerPoint in a 16:9 (widescreen) format. There is no specific template required other than the widescreen formatting.

Poster Presentation

All poster presenters are kindly requested to follow the guidelines below to ensure a smooth and well-organized poster session.

Format of the poster

  • The size of the poster panel is 210 cm in height and 90 cm in width. Posters must be prepared within the display area of W90cm × H160 cm. Please adjust the size of your poster accordingly. Pins will be provided at the venue.
  • At the top of the poster, include the title, affiliation, and name.
  • The poster number (presentation number) will be prepared by the secretariat and affixed to the top left of the poster panel.
  • There is no specific official format. Please feel free to use any template for making the poster.

Posting, Presentation, and Removal

  • Posting: Please confirm your poster number and put up your poster yourself before the posting time.
    Pins needed for posting will be provided by the organizers.
  • Removal: Posters not removed by the designated removal time will be taken down and discarded by the secretariat. Thank you for your understanding.

Removal

October 16, 3:00 PM - 5:30 PM

All posters must be removed listed above. Any posters left after this time will be discarded.

Poster Printing Service (Self-paid)

kinko's, located within PACIFICO Yokohama, will be opened during ICPH & ICOFF 2026 October 13th - October 17th, from 9:00 AM - 6:00 PM.
Printing is possible from a USB drive and will take roughly 1 hour. Participants are recommended to contact the shop in advance.
The conference organizers are not involved in the ordering, payment, printing, or delivery process.
Participants are responsible for contacting the company directly and making the necessary arrangements themselves.
